OpenAI Billing Review – Business Annual Subscription Deactivated Despite Prepaid Plan

I am posting here because my support case has not received a clear resolution, and I am hoping someone from the OpenAI Business/Billing team can review the full history.

Summary of the Issue

I purchased a ChatGPT Business annual subscription for 2 seats in March 2026 and paid the full annual amount upfront.

Support has confirmed that the original annual subscription payment was successfully received and that the workspace originally started with 2 seats.

Later, an additional seat was apparently added during the annual subscription term. This generated a separate prorated “true-up” invoice for the additional seat.

I am not denying that the additional member may have been added. My concern is about how the billing and suspension process was handled afterward.

Timeline of What Happened

  1. I prepaid for an annual ChatGPT Business subscription for 2 seats in March 2026.
  2. In April 2026, a third seat was apparently added to the workspace.
  3. In May 2026, OpenAI issued a prorated additional-seat invoice.
  4. I received a payment notice stating that payment was due and that access would be lost if payment could not be processed by a later deadline, specifically around 18 May 2026.
  5. I contacted OpenAI Support immediately after receiving the notice because I wanted to resolve the issue, obtain a payment path, and avoid workspace disruption.
  6. However, I could not access a workable payment link or billing path to pay the invoice.
  7. The workspace became unavailable/deactivated on 12th May instead of 18 May 26.
  8. The additional-seat invoice was later marked as VOID.
  9. Support later advised that the voided invoice could not be reopened, that the original annual subscription could not be restored, and that the only way to regain access was to purchase/reactivate a new subscription.
  10. I purchased a new monthly subscription to regain access to the workspace and data.

Main Concern

The core issue is not simply a refund request.

The issue is that a fully prepaid annual Business subscription became unusable because of a later additional-seat invoice, even though:

  • The base annual subscription had already been paid.
  • I contacted support immediately after receiving the payment notice.
  • The notice indicated there was still time to resolve payment before access would be lost.
  • No workable payment link or practical payment path was provided to me.
  • The additional-seat invoice was later marked VOID.
  • The original annual subscription was not restored after the invoice was voided.
  • I was required to purchase a new subscription to regain access.
  • The remaining unused portion of the prepaid annual term was not refunded, credited, restored, or transferred.

Questions That Remain Unanswered

  1. Why was a prepaid annual Business workspace allowed to be deactivated due to a later additional-seat invoice?
  2. If the payment notice stated that access would be lost only after a later deadline, why did the workspace become unavailable before I could practically resolve the payment issue?
  3. Why was there no payment link or workable billing path available after I contacted support asking to pay or investigate the invoice?
  4. Why was the additional-seat invoice marked VOID?
  5. If the invoice was voided, why did it still result in permanent loss of the original annual subscription?
  6. Why could the original prepaid annual subscription not be restored after the invoice was voided?
  7. Why was I advised to purchase a new subscription instead of being helped to continue or restore the existing annual subscription?
  8. What happened to the remaining unused portion of the prepaid annual subscription?
  9. Why is the matter being treated only as a standard refund-window issue when the dispute concerns billing access, invoice handling, workspace deactivation, and loss of prepaid service?

What I Am Requesting

I am requesting that someone from OpenAI Billing, Business Support, or a senior support team review the full history across the related case numbers.

I am seeking a clear explanation of the account actions taken during May 2026 and whether any fair remedy is available, such as:

  • reinstatement of the original annual subscription period,
  • credit of the unused annual period toward the current subscription,
  • refund of the unused prepaid portion,
  • refund of the new monthly subscription required to regain access,
  • or another appropriate billing adjustment.

I am not asking the community for legal advice. I am asking whether this is expected behavior for ChatGPT Business annual subscriptions and whether anyone from OpenAI can review the case history and provide a complete explanation.

I’m facing the same problem, and I’m frustrated and angry too. I tried to find a solution through the Help Center and support@openai.com, but all I got was a response from ChatGPT Bot, which has been delayed and is hindering our company equity.
