Proposal: OpenAI-Enhanced OneNote for Chat Libraries, Scalable AI Knowledge Structuring

For the record I did use open AI to help me articulate this in such a manner that was more to the point and focused.

Objective:

Propose a strategic collaboration between OpenAI and companies that offer existing note-taking platforms—such as Microsoft (OneNote) or others—to create a customized, streamlined solution for curating, editing, and storing structured ChatGPT sessions.

This custom tool would allow OpenAI users to transform unstructured chat interactions into reusable knowledge assets, reduce processing repetition, and better align ChatGPT output with technical, team-based, or enterprise workflows.

Background:

AI-generated responses often include multi-step problem solving, trial-and-error exchanges, and clarifications. This leads to chat histories that:

  • Contain irrelevant or outdated information
  • Lack proper annotation or organization
  • Cannot be repurposed, searched, or efficiently referenced later

Users currently have no way to:

  • Clean up and retain only relevant answers
  • Mark or structure steps (e.g., “Step 3 - change failed, retried here”)
  • Organize sessions by use case, intent, or topic

Proposed Solution:

Partner with an existing note-taking platform vendor—such as Microsoft (OneNote), or others like Notion, Evernote, or even Dropbox Paper—to:

  1. Create a customized, stripped-down variant of their application architecture, solely for OpenAI’s use.
  2. Remove extraneous features (e.g., visual formatting, page themes, embedded drawings) that are not relevant to ChatGPT workflows.
  3. Add functionality that supports:
  • Importing and editing chat sessions
  • Annotation and tagging
  • Organizing into sections or templates
  • Exporting and reimporting with a structured format (e.g., .oai1)
  1. Store sessions using either OpenAI-managed storage or customer-owned cloud storage (e.g., OneDrive, Dropbox, etc.).

Business and Technical Opportunity:

  • OpenAI Benefits:
    • Reduces compute usage through better user-side context management
    • Encourages retention of structured knowledge
    • Enables workflow reuse across teams and industries
    • Opens monetization pathways (e.g., curated libraries, usage credits, structured model training)
  • Partner Benefits (e.g., Microsoft, Notion, others):
    • Showcases their architecture as an AI-enhanced knowledge workspace
    • Enables white-labeled or co-branded enterprise extensions
    • Opens license and royalty models with OpenAI
    • Positions their platform as a backend for future AI-augmented enterprise knowledge systems

Interoperability Potential:

As OpenAI expands, this structure allows for future integrations:

  • If Microsoft Word or Excel already contain the right solution, ChatGPT could retrieve it directly from Microsoft’s internal APIs rather than reprocess it.
  • Other vendors (e.g., Adobe, SAP, Atlassian) could follow suit—structuring how their tools interact with ChatGPT sessions using this same curated notes model.

Summary:

OpenAI doesn’t need to build a new note-taking system from scratch. Instead, it should pursue a targeted collaboration with vendors who already have mature note-taking tools, and customize a variant to:

  • Focus on structured chat curation
  • Eliminate distractions and irrelevant features
  • Create a proprietary format that supports ChatGPT continuity
  • Deliver long-term value for AI-based knowledge management across all sectors

This creates a scalable, storage-aware, and reusable model—while positioning OpenAI as a platform for structured, user-aligned intelligence curation.
