Feature Proposal: A Native Notes and Knowledge Management System for ChatGPT
I use ChatGPT extensively for long-running technical, IT, infrastructure and business projects. Projects already provide a very useful foundation for this kind of work, but I frequently encounter one limitation:
There is no dedicated place between a conversation and permanent/curated project knowledge where I can simply store thoughts, links, open questions and ideas for later.
I would therefore like to propose a native three-layer notes and knowledge system for ChatGPT.
1. Global Personal Notes
A user-controlled notes area that exists independently of individual chats and projects.
This could contain:
-
useful links and sources
-
suppliers and products
-
ideas
-
technical references
-
things to investigate later
-
information relevant to multiple projects
It should be explicitly controlled by the user and clearly separated from ChatGPT Memory.
Example:
“Save this link to my global notes under Network Documentation.”
2. Private Project Notes / Scratchpad
Every ChatGPT Project could have its own private scratchpad.
This is particularly important because not everything discussed during development should immediately become established project knowledge.
During a technical project I may have:
-
an idea that needs investigation
-
an alternative design
-
an unconfirmed dimension
-
a supplier to contact
-
a calculation to verify
-
an interesting link
-
an open question
I want to be able to say:
“Add this to my private project notes.”
ChatGPT should then understand that this information is worth keeping, but should not yet be treated as a confirmed project fact.
This would essentially create a lightweight working area between a temporary conversation and the project’s permanent knowledge base.
3. Curated Project Knowledge
The third level would contain confirmed and structured information that ChatGPT can reliably use across all conversations within a project.
Examples could include:
-
confirmed dimensions
-
approved technical specifications
-
selected components
-
project decisions
-
calculation assumptions
-
agreed suppliers
-
system architecture
-
final design choices
-
important constraints
-
milestones and dependencies
The important distinction is that information should only enter this layer deliberately.
For example:
“Move this from my project notes into confirmed project knowledge.”
Before doing so, ChatGPT could show a short preview of what will be stored and ask for confirmation if necessary.
This would prevent unconfirmed ideas from gradually becoming treated as facts.
Moving Information Between the Three Layers
A particularly useful feature would be the ability to move or copy information between the different levels.
For example:
Global Notes → Project Notes
A general technical reference becomes relevant to a specific project.
Project Notes → Project Knowledge
An idea has been investigated and confirmed.
Project Knowledge → Project Notes
A previously confirmed assumption needs to be reconsidered.
Project Notes → Global Notes
A discovery made in one project turns out to be useful elsewhere.
ChatGPT could support natural language commands such as:
-
“Move this to the project scratchpad.”
-
“Promote this to confirmed project knowledge.”
-
“Copy this into my global notes.”
-
“Mark this as an open question.”
-
“Archive this note.”
-
“Replace the old specification with this one.”
A preview before important changes would reduce accidental overwriting.
Status and Metadata
Notes could optionally have a simple status.
For example:
-
Idea
-
Open Question
-
To Verify
-
Research
-
Decision Pending
-
Confirmed
-
Superseded
-
Archived
Additional metadata could include:
-
creation date
-
last modified date
-
originating conversation
-
source or URL
-
related project
-
tags
-
author
-
related files
This would make the system useful without turning it into a complex project-management application.
Version History
For technical projects, version history would be extremely valuable.
Specifications and assumptions often change over time.
Instead of silently replacing information, ChatGPT could maintain revisions such as:
Version 1
Initial assumption
Version 2
Updated after supplier clarification
Version 3
Final confirmed specification
The current version would be used by ChatGPT, while earlier versions could still be reviewed.
This would also make it possible to understand why a certain technical decision was made months later.
Source Traceability
One of the biggest benefits would be knowing where information originally came from.
A stored item could retain a reference to:
-
the original ChatGPT conversation
-
an uploaded document
-
an email
-
a website
-
another note
-
a calculation
-
a user-entered source
For example, clicking on a technical specification could show:
Source: Conversation “PV Planning – 22 Sep 2026”
or
Source: Supplier datasheet uploaded on 18 Sep 2026
This would greatly increase trust in long-running projects.
Search and Retrieval
All three layers should be searchable.
Examples:
“Show me everything I saved about Fronius.”
“What open questions are left in this project?”
“Show all project notes related to network infrastructure.”
“Which specifications were changed during the last month?”
“What decisions have not yet been confirmed?”
This would turn ChatGPT into a much more powerful long-term project workspace.
Automatic Suggestions — But User Controlled
ChatGPT could also recognize information that might be worth storing and suggest it.
For example:
“This looks like an important project decision. Would you like me to add it to Project Knowledge?”
However, ChatGPT should not automatically promote information into confirmed knowledge without the user knowing.
The user should always remain in control of what becomes part of the project’s trusted knowledge base.
Voice and Mobile Use
This feature would be particularly useful when using ChatGPT on a phone or through voice.
While travelling, working on a construction site or discussing an idea, I could simply say:
“Add a note to Project X: check whether the supplier can provide the adapter in 42CrMo4.”
Later, from a desktop computer, I could review and organize these notes.
That would make ChatGPT a practical capture tool for ideas that currently tend to get lost inside long conversations.
A Dedicated Notes View
Ideally, a Project could contain an additional tab alongside chats and files:
Chats | Files | Notes | Project Knowledge
The Notes area could show:
-
pinned notes
-
open questions
-
recent notes
-
archived notes
-
confirmed decisions
-
links and sources
-
notes grouped by topic or tag
This does not need to become a full Notion-style database.
Even a simple, well-integrated notes panel would already solve a major problem.
Why This Would Be Useful
Long-running ChatGPT projects often contain dozens or even hundreds of conversations.
The problem is usually not that the information does not exist.
The problem is that important information becomes buried inside conversations.
Today there is often a jump between:
temporary conversation
and
long-term memory / project context
What is missing is a user-controlled intermediate layer.
A native notes system would allow users to build knowledge gradually:
Conversation → Scratchpad → Confirmed Knowledge
This reflects how real technical and business projects actually develop.
Ideas start as possibilities, are investigated, refined and eventually become confirmed decisions.
ChatGPT already does an excellent job helping with the thinking process. A structured notes and knowledge layer would make it much more effective for projects that last weeks, months or years.
Integration with External Note Apps
A very useful extension would be an optional integration with existing note-taking apps, especially Apple Notes and Microsoft OneNote.
Many ideas do not arise while actively using ChatGPT.
They occur while travelling, on a construction site, in a meeting, or simply when using a phone for a few seconds.
In those situations, it is often much faster to open an existing notes app and quickly write something down than to open a specific ChatGPT conversation and find the correct project.
A connected notes folder could solve this.
For example, a user could create a folder in Apple Notes or OneNote such as:
ChatGPT – Project PV System
or
ChatGPT – Project Network Infrastructure
That folder could then be linked to a specific ChatGPT Project.
Any new notes created inside that folder could automatically appear in the corresponding Project Notes / Scratchpad area in ChatGPT.
For example:
Apple Notes → “ChatGPT – Project PV System” → automatically imported into the PV Project Notes
This would allow users to capture thoughts very quickly while mobile without having to organize them twice.
The integration should ideally support:
-
linking a notes folder to a ChatGPT Project
-
automatic or manual synchronization
-
importing newly created notes into the Project Scratchpad
-
retaining the original source and timestamp
-
avoiding duplicate imports
-
optionally syncing edits
-
manually promoting imported notes into confirmed Project Knowledge
-
disconnecting a folder without deleting existing project notes
Imported notes should initially remain unconfirmed project notes rather than becoming trusted Project Knowledge automatically.
This would preserve the same principle as the rest of the proposed system:
capture quickly first, verify and promote later.
Such an integration would be particularly valuable for mobile workflows.
For example, I could quickly add a note on my iPhone while travelling:
“Ask supplier whether the adapter can be manufactured from 42CrMo4.”
If that note is stored inside the Apple Notes folder linked to the project, it could automatically appear in the corresponding ChatGPT Project when I later continue working on my desktop.
This would create a very practical bridge between quick everyday note capture and structured long-term work inside ChatGPT.
In addition to Apple Notes and OneNote, the same concept could later be extended to other note platforms.
The important part would not necessarily be the specific application, but the ability to define an external inbox or folder for each ChatGPT Project.
**
Optional Future Extension: Task and Follow-Up Integration
**
Once notes exist as structured objects, they could also interact with reminders and tasks.
For example:
“Remind me next Friday to verify this note.”
or
“When I receive an answer from the supplier, remind me to update this project decision.”
This could connect project knowledge, open questions and future actions without requiring a separate project-management system.
Summary
The system could therefore consist of:
Global Notes
Personal knowledge that can be reused across projects.
Project Notes / Scratchpad
Ideas, links, questions and unconfirmed information for a specific project.
Project Knowledge
Confirmed and structured information that ChatGPT can reliably use as project context.
Together with search, source references, status fields, version history and controlled promotion between the layers, this could significantly improve ChatGPT for long-running technical and professional work.
For me, this would be one of the most useful additions to Projects because it would solve a problem that becomes more noticeable the more intensively ChatGPT is used:
important information should not disappear inside old conversations, but not every thought should immediately become permanent knowledge either.
